Cancellation and Refund Policy

Deadline: 9 June 2024

Cancellations must be notified in writing (e-mail is sufficient) to the Congress Managers. Cancellations made by 9 June 2024 will result in a full refund less $150 to cover administration costs. As an alternative to cancellation, your registration may be transferred to another person by 9 June 2024, without incurring any cost penalty. Refunds for cancellations received after 9 June 2024, will only be made in exceptional circumstances. The host reserves final decision on a case-by-case basis for granting a cancellation in extenuating circumstances. It is recommended that travel insurance be secured personally upon registering. The Congress Managers must be advised in writing of any alterations or transfers of registrations.

International Borders

We ask all delegates to carefully monitor the Australian travel restrictions and exemptions: www.homeaffairs.gov.au/covid19/

State Border Closure

Should Australian Federal and/or State Governments make a decision relating to COVID-19 gatherings, closure of borders, and travel restrictions, a full refund of all deposits and payments is available, if the cancellation is made up to five days prior to arrival. If the cancellation occurs within five days of arrival, the monies held will be used for future bookings.

Congress Postponement

In the event of a postponement, all registrations will automatically be transferred to the new Congress dates. All components of your registration including accommodation bookings, Welcome Reception RSVP and Awards Dinner RSVP will also be transferred. If you are unable to attend on the new dates, you may contact the Congress Managers to request a transfer of your registration to a colleague at no cost, or request a cancellation and refund which will incur a $150 administration fee up until the Registration Cancellation Deadline.

Congress Cancellation

In the event of the cancellation of the Congress, all registrations and associated components of attendance will be cancelled and amounts refunded in full.

Insurance

Registration fees do not include insurance of any kind. It is strongly recommended that all delegates take out their own travel insurance and medical insurance prior to the conference. The policy should include loss of fees through cancellation of your participation in the conference itself, loss of airfares for any reason, medical expenses and repatriation should travel arrangements have to be altered. In the event of industrial disruptions or natural disasters the Congress Managers cannot accept responsibility for injury or damage to property or persons occurring during the congress or associated activities.

Insurance is the responsibility of the individual delegates.

All best endeavours will be made to present the program as displayed on this website. The Congress and its agents reserve the right to alter without prior notice any of the arrangements, timetables, plans or other items relating to this meeting, for any cause beyond its reasonable control. The Host and the Congress Organisers are not liable for any loss or inconvenience caused as a result of such alteration. In the event of unforeseen circumstances, the Host and the Congress Organisers not accept responsibility for loss of monies caused by delays. Participants are advised to take out personal travel insurance and to extend their policy to cover personal possessions. The Congress does not cover individuals against cancellations of bookings or theft or damage to belongings.

Accommodation Terms and Conditions

Accommodation Rates

The Congress Managers has endeavored to secure competitive and economical room rates at the above hotels. Please note that due to the terms and conditions of group accommodation blocks, these rates may differ to the rates available when booking a hotel direct.

Deposits

Accommodation will not be confirmed until payment of the first night is received by credit card or full pre-payment is received by cheque or electronic funds transfer. Your payment will be forwarded to your hotel and credited to your room account. Delegates must settle the balance of their account with the hotel concerned upon check-in/out depending on the hotel’s policy. If accommodation deposits are not received before 6 June 2024 your room will be cancelled and released back to the hotel. The Congress Managers does not take responsibility for accommodation if payment is not received by this date.

Cancellations

NO ACCOMMODATION PAYMENTS WILL BE REFUNDED ON OR AFTER 6 JUNE 2024. Participants who confirm an accommodation booking with a credit card or full pre-payment and who wish to cancel on or after 6 June 2024 are liable for the full cost of their cancelled accommodation. To cancel your reservation, please contact the Congress Managers at registration@wdsc2024.org.au. Name changes to a reservation can be made at no charge.

Change of Booking

Any change in booking must be made in writing to the Congress Managers and NOT directly to the hotel before 6 June 2024. Any changes received after 6 June 2024 will be at the hotel’s discretion and based on availability.

Early Arrival

As check-in at most hotels is not until 1400, it is possible that your room may not be ready for immediate occupation on your early arrival. Whilst hotels will do everything possible to accommodate early arrivals if you wish to be guaranteed immediate occupation you can pay an extra day’s tariff for the night before you are due to arrive. If you wish to take this precaution, please advise the Conference Managers on the registration form so we can notify the hotel that your room is required early.

No Show Policy

In the event of a “No Show” on the date of arrival, full cancellation penalties apply to all nights of the stay.
